Privacy Notice & POPIA

Last updated: 06/11/2026

This notice explains how Kaia Manzi Estates Pty Ltd, operating Kaia Manzi Resort, handles personal information received through kaiamanzi.co.za and related booking enquiries under South Africa’s Protection of Personal Information Act 4 of 2013 (POPIA).

Who to contact

For privacy requests, write to az.oc.iznamaiakobfsctd-52f2c4@ofni, marked “For attention: Information Officer”, or call 071 851 1346. Our recorded business address is 75 Kilomanjaro St, Bronkhortspruit, Gauteng, South Africa.

Information we collect and why

Our enquiry form collects your name, email address, mobile number, enquiry and accommodation choices, number of adults, travel dates, and any optional address, number of children or message you provide. We use these details to answer you, check availability and arrange or administer your requested visit. Required fields are marked on the form; without the relevant details we may be unable to respond or prepare your booking. Optional information is voluntary. Please do not include identity documents, payment-card details or sensitive information in the message field.

We receive information directly from you through the form, email, telephone or WhatsApp, or from someone arranging a visit for your group. Please share another person’s details only with appropriate authority. Website and security systems also process technical details such as IP address, browser, device, request time and pages requested to operate the site, prevent abuse and diagnose faults. Optional Google Analytics helps us understand site use when you allow statistics cookies.

Our grounds for processing

Depending on the purpose, processing is necessary to take steps towards or perform your booking contract, meet a legal obligation, pursue legitimate interests such as responding to enquiries and protecting the website, or follows your consent. Refusing optional analytics does not prevent you from making an enquiry.

Who may receive information

Relevant resort staff and service providers supporting hosting, website maintenance, email, communications and analytics may receive information needed for their work. We may disclose information where legally required or necessary to establish or defend a legal claim. We do not sell enquiry details. Google Analytics and communication services such as WhatsApp may process information outside South Africa. Any international transfer must meet an applicable condition in section 72 of POPIA, such as adequate protection, consent or contractual necessity.

Retention and security

We retain information for as long as reasonably needed for the enquiry, booking, applicable record-keeping duties or legal claims, then delete or de-identify it when no longer required or lawfully retained. We apply reasonable technical and organisational safeguards, including HTTPS and restricted administrative access. No online service is completely risk-free. Security compromises are assessed and notified as required by POPIA.

Your choices and rights

You may ask whether we hold your information, request access, seek correction or deletion where POPIA permits, object to applicable processing, or withdraw consent. These rights have legal limits, and withdrawal does not invalidate earlier lawful processing. Contact us above with enough detail to identify your request; proportionate identity checks may be required. The Information Regulator provides POPIA request forms.

Enquiring or booking is not an automatic subscription to promotional messages. Electronic direct marketing requires consent or the limited existing-customer exception under section 69 of POPIA, with an opportunity to object. You can ask us to stop marketing at any time.

Children and external services

This website is intended for adults making enquiries and arranging visits. Please provide only the number of children needed for the enquiry, rather than unnecessary identifying or sensitive details. A parent, guardian or other legally competent person should handle any necessary information about a child. Links to Facebook, WhatsApp or other websites take you to services governed by their own notices.

Cookies, complaints and updates

Read our Cookie Policy for tracking choices. You may complain directly to the Information Regulator at az.gro.rotalugerofniobfsctd-2649d8@stnialpmoCAIPOP or 010 023 5200. You do not have to complain to us first. We will publish material changes to this notice here.
